This form saves your name, email, business, country, optional website, work model, and project description, along with language, proposal currency, and submission time. These details are used to review your request. Marketing consent is not a condition of making an inquiry.
1. Who is responsible and how to contact us
Muammer Furkan Kocacerit, operating as Kutup Agency, is responsible for the personal information processed through this website's project enquiries. Contact contact@kutupagency.com with privacy questions or requests. This notice covers visits to kutupagency.com, the project form, and follow-up communication about your enquiry.
2. Information collected
When you submit the form, we collect your name, email address, business/brand, selected country, work model, project description, and optional current website. We also record the page language, proposal currency, submission time, enquiry ID, and technical identifiers used to prevent duplicate submissions. Any additional information you choose to put in your message forms part of your enquiry.
Network services process IP addresses, request times, and technical browser information to deliver and protect the website. The form's request limiter stores a short-lived keyed identifier instead of the IP address itself.
3. Purposes and lawful bases
We use necessary information to understand your project, prepare a proposal, and respond. Where applicable, this relies on steps you request before a contract or performance of a contract. General communication and security rely on legitimate interests balanced against your rights. Legal obligations and establishing or defending legal claims may also require processing. Under the UK GDPR, the relevant bases include Article 6(1)(b), (f), and (c).
Submitting an enquiry does not subscribe you to advertising or newsletters. We do not make decisions about enquiries based solely on automated processing that have legal or similarly significant effects.
4. Access, providers, and transfers
Enquiries are stored in a server environment with restricted access. Authorised people and necessary hosting, network security, and communication providers may process information for these purposes. Cloudflare helps deliver and protect the site. If you email us, the email services involved also process your message. We may provide necessary information to authorities in response to lawful requests.
International providers may process information outside your country. Applicable transfer requirements and safeguards must be met; reading this notice or sending the form is not, by itself, consent to an international transfer. Enquiries are also copied to the Sales Centre application operated by Kutup Agency to track and respond to your request. This synchronisation does not subscribe you to marketing or start automatic messages.
5. Retention
We retain enquiries for as long as needed to evaluate them and carry out reasonable follow-up. Service records, legal obligations, and legal claims may require different retention periods. When the purpose ends and no other legal reason requires retention, information is deleted or anonymised. Backup copies are removed through the backup retention cycle. If continued retention is necessary, we explain the reason when responding to a deletion request.
6. Your rights
Subject to applicable conditions, you can request access, correction, erasure, restriction, objection, and data portability. You may complain to the relevant supervisory authority, including the UK Information Commissioner's Office where applicable. Not every right applies in every situation.
